About the role
You will directly support the Mayor by prioritising, coordinating and supporting the Mayor’s activities, acting as a high-level gateway for diary, communications and casework, and maintaining the Mayor’s personal relationships with stakeholders. You will lead the Executive Assistant to the Mayor, two Caseworkers, and an apprentice, working closely with communications colleagues and the Senior Leadership Team. 

What you’ll be doing

  • Ensure the effective and efficient operation of the Mayor’s Office, developing robust processes and procedures and setting high performance standards. 

  • Lead decision-making on the Mayor’s attendance at events and meetings, and ensure effective diary operation and prioritisation. 

  • Oversee the day-to-day flow of papers and business, ensure timely responses to mayoral correspondence, facilitate decision-making and communicate outcomes, tracking actions to completion. 

  • Build and manage relationships with key public and private sector stakeholders, prioritising access to the Mayor and acting as the main point of contact between the Mayor’s Office and the Authority. 

  • Work with GLCCA communications colleagues to develop responses to media enquiries and opportunities. 

  • Arrange and manage the Mayor’s events, roundtables and summits, planning visits and logistics to ensure successful delivery. 

  • Ensure appropriate support and briefing for meetings and external visits; take or commission notes of meetings and handle policy correspondence with the Executive Assistant, officers and apprentice. 

  • Maintain oversight of all correspondence and casework through the Mayor’s inbox, ensuring logging, progress updates and follow-up of outstanding queries. 

  • Provide high-quality advice on convening and attending meetings and events; act as a trouble-shooter on difficult or sensitive issues when required. 

  • Lead specific ad hoc projects on behalf of the Mayor; attend meetings with the Mayor as appropriate; provide flexible cover across the team and maximise value for money. 

About you
You bring experience of managing and delivering a high-performing support service at senior level, with strong people and organisational skills, exceptional written and oral communication, and the ability to liaise confidently at the highest level while handling highly confidential information. You are politically aware with a strong knowledge of central and local government, experienced in casework delivery, diary management and prioritisation, and adept at organising public engagements and events. Proficiency in Word, PowerPoint, Outlook, Excel and Visio is required; shorthand or proven note-taking ability is desirable. A relevant degree or equivalent experience is expected. 

 
The role will be based on-site in Lincoln with an occasional need for travel.
