Overview
This is an exciting opportunity to join the newly established Greater Lincolnshire Combined County Authority (GLCCA) in a pivotal role supporting the Mayor and Deputy Mayor. As Executive Support Officer, you will be at the heart of a fast-paced and high-profile environment, providing top-tier executive assistance and ensuring the smooth running of the Mayor’s office. You will play a key role in delivering the strategic priorities of the GLCCA through effective coordination, communication, and stakeholder engagement.
Key Responsibilities
Executive Support & Diary Management
- Act as the first point of contact for the Mayor, managing a complex and busy diary.
- Coordinate meetings, briefings, and events with senior stakeholders, ensuring seamless organisation.
- Manage inboxes and correspondence for the Mayor and Deputy Mayor, prioritising engagements and ensuring timely responses.
Administrative & Project Support
- Provide comprehensive and confidential administrative support, including preparing reports, briefing notes, and correspondence.
- Support ad-hoc projects, including consultation exercises, data analysis, and presentation of findings.
- Assist in the production of statutory or sensitive reports and take action notes at meetings.
Stakeholder Engagement
- Build and maintain strong relationships with senior officers across GLCCA, central government, local councils, and wider stakeholders.
- Represent the Mayor’s office with professionalism, diplomacy, and confidence.
- Support arrangements for official visits by Government Ministers and other dignitaries.
Operational Excellence
- Ensure compliance with GLCCA’s Information Governance and financial regulations.
- Maintain awareness of relevant legislation, policies, and best practices.
- Contribute to continuous improvement by reviewing and refining office procedures.
Team Collaboration
- Provide cover across the Executive Support function to ensure consistency and high standards.
- Support communications and casework within the team when required.
- Engage in training and development activities, including Health & Safety and Information Governance.
Person Specification
Essential:
- Minimum 5 GCSEs (Grade C or above) or equivalent.
- NVQ Level 3 in Business Administration or equivalent (or working towards).
- Experience supporting senior leaders in a high-profile environment.
- Proficiency in MS Office 365 (Teams, Outlook, Word, Excel, PowerPoint, SharePoint, Visio).
- Excellent verbal and written communication skills.
- Strong time management and ability to manage conflicting priorities.
- Proven ability to work independently and take initiative.
- Experience in project work, research, and analysis.
- High attention to detail and problem-solving skills.
- Flexible and responsive to change.
- Full driving licence and access to a vehicle.
Desirable:
- Knowledge of local government and political awareness.
- Experience with data entry and minute taking.
- Awareness of Health & Safety, Information Governance, GDPR, and financial regulations.
Additional Information
- Some weekend work may be required.

The role will be based on-site in Lincoln with an occasional need for travel.
